1. Who we are

Timberwolf Taekwondo Inc. (“Timberwolf Taekwondo”, “we”, “us”) operates timberwolftkd.ca. Our registered office is 164 Andrew Street, Newcastle, Ontario, Canada, L1B 1L9. You can reach us at admin@timberwolftkd.ca.

This policy explains how we collect, use, disclose, and protect personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law. It applies to information collected through this website and through club intake forms and communications.

2. What information we collect

We collect only the information we need to operate the club and respond to you:

  • Contact details you give us, such as your name, email address, and phone number, when you use a contact form, email signup, or write to us.
  • Student and guardian information collected on intake forms, such as student name, date of birth, guardian contact information, emergency contacts, and relevant health or safety notes needed for safe participation.
  • Enrollment and payment information when a membership is arranged.
  • Basic technical information such as the pages visited, through standard website analytics.

Students are minors in many cases. Where a student is under 18, we collect student personal information from the student’s parent or guardian, and guardian consent is required before we collect, use, or disclose that information, except where permitted or required by law.

3. How we use it

We use personal information to:

  • Respond to inquiries and send updates you asked for, such as Newcastle class updates.
  • Administer enrollment, trials, memberships, and attendance.
  • Maintain student safety, including emergency contact information.
  • Meet legal, insurance, and Taekwondo Ontario membership requirements where applicable.

We do not sell or rent personal information, and we do not use it for unrelated purposes without your consent.

4. When we share it

We share personal information only with people who need it to run the club and with service providers who help us operate, such as our email delivery provider. We may disclose information where required by law. Any service provider is given only the information it needs and must protect it as described in this policy.

5. How we protect it

We use reasonable administrative and technical safeguards, including restricted access to the club inbox and secure systems, to protect personal information. We keep it only as long as needed for the purposes above or as required by law, then securely delete or anonymize it.

6. Your choices and rights

You can ask to see the personal information we hold about you or your child, ask for corrections, or withdraw consent (subject to legal and contractual restrictions) by emailing admin@timberwolftkd.ca. You may also unsubscribe from any email list at any time. We will respond within a reasonable time, and PIPEDA timelines apply.

7. Questions or complaints

Contact us first with any question or complaint at admin@timberwolftkd.ca. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
